Terms & Installation Policy

These terms govern all projects undertaken by SolarHub. By accepting a quotation or proceeding with an installation, the client acknowledges that they have read, understood, and agreed to the conditions outlined below.

1. Payment Terms

All projects undertaken by SolarHub are subject to the following payment structure:

•⁠ ⁠80% deposit is required prior to procurement and commencement of work
•⁠ ⁠20% balance is payable upon completion of installation

SolarHub reserves the right to withhold commissioning, system activation, and Certificates of Compliance (COC) until full and final payment has been received.

In addition:

•⁠ ⁠SolarHub reserves the right to request progress payments during the course of the project
•⁠ ⁠Progress payments may be structured as 5%, 10%, or 20% interim payments, depending on project size, duration, and complexity
•⁠ ⁠Progress payments may be required due to:
* Weather-related delays
* Extended project timelines
* Approved variation orders
* Material or scope changes

SolarHub reserves the right to:

•⁠ ⁠Issue variation orders where unforeseen circumstances arise
•⁠ ⁠Adjust pricing and payment milestones accordingly

All variation orders will be communicated and approved prior to continuation of affected work.

Failure to meet any required payment may result in immediate suspension of work until such payment is received.

2. Ownership of Equipment

SolarHub reserves full rights to all equipment, materials, and installed components until full and final payment has been made.

Ownership remains with SolarHub until:

•⁠ ⁠Full payment has been received, or

•⁠ ⁠Alternative written arrangements have been agreed upon

In the event of non-payment:

•⁠ ⁠SolarHub reserves the right to remove any and all installed equipment from site

•⁠ ⁠All associated costs (labour, transport, reinstatement) will be for the client’s account

3. Certificates of Compliance (COC)

SolarHub reserves the right to withhold, delay, or withdraw Certificates of Compliance (COC) under the following conditions:

•⁠ ⁠Full and final payment has not been received

•⁠ ⁠The site does not have a valid and compliant Master COC for the electrical reticulation system

•⁠ ⁠Any part of the installation (existing or new) is unsafe or non-compliant

If a COC has been issued in good faith and any of the above conditions are not met:

•⁠ ⁠SolarHub reserves the right to withdraw or invalidate such certification

4. Inverter, Monitoring & System Control

SolarHub reserves the right to retain administrative control over all inverters, monitoring systems, and communication devices (including dongles) until full and final payment has been received.

SolarHub further reserves the right to:

•⁠ ⁠Lock, restrict, or limit access to inverters and monitoring platforms

•⁠ ⁠Maintain full administrative control of system settings and performance

Any of the following actions without prior written approval from SolarHub:

•⁠ ⁠Tampering with inverter settings

•⁠ ⁠Interfering with monitoring systems or dongles

•⁠ ⁠Unauthorized access or modification of system parameters

Will result in:

•⁠ ⁠Immediate voiding of all workmanship guarantees

•⁠ ⁠Immediate invalidity of any issued COCs

•⁠ ⁠Termination of any support or warranty obligations from SolarHub’s side

5. Scope of Work & Variations

All quotations are based on initial site inspections and available information.

Additional costs may arise due to:

•⁠ ⁠Client-requested changes

•⁠ ⁠Unforeseen site conditions (including trenching, rock, roof structure, cable routing, or access challenges)

•⁠ ⁠Compliance-related upgrades

SolarHub reserves the right to issue variation orders across the project where required.

No additional work will proceed without client communication and approval.

6. Compliance & Existing Installations

SolarHub is responsible only for the new installation provided.

•⁠ ⁠Any pre-existing electrical faults or non-compliance remain the responsibility of the client

•⁠ ⁠Work required to bring existing systems up to compliance will be quoted separately

7. System Performance Disclaimer

Solar systems are dependent on external factors including:

•⁠ ⁠Weather conditions

•⁠ ⁠Load consumption patterns

•⁠ ⁠Grid availability

SolarHub does not guarantee specific savings or performance outcomes, although systems are designed using industry best practices.

8. Warranty

•⁠ ⁠All equipment is subject to manufacturer warranties

•⁠ ⁠Installation workmanship is covered for 12 months, unless otherwise specified

Warranty excludes:

•⁠ ⁠Misuse or negligence

•⁠ ⁠Unauthorized modifications

•⁠ ⁠Tampering with system components

•⁠ ⁠External damage or environmental factors

9. Site Access & Project Delays

The client is responsible for providing safe and reasonable access to the site.

SolarHub shall not be held liable for delays caused by:

•⁠ ⁠Weather conditions

•⁠ ⁠Supplier or logistics delays

•⁠ ⁠Regulatory approvals (Eskom, municipalities, etc.)

•⁠ ⁠Any circumstances beyond reasonable control

10. Limitation of Liability

SolarHub shall not be liable for:

•⁠ ⁠Indirect or consequential damages

•⁠ ⁠Loss of income, productivity, or business interruption

Liability is limited to the total contract value.

11. Force Majeure

SolarHub shall not be held responsible for delays or failure to perform due to events beyond its control, including but not limited to:

•⁠ ⁠Load shedding or grid instability

•⁠ ⁠Civil unrest, strikes, or riots

•⁠ ⁠Supply chain disruptions

12. Pricing Validity

Due to fluctuations in exchange rates and equipment pricing:

•⁠ ⁠All quotations are valid for a limited period as specified

•⁠ ⁠SolarHub reserves the right to revise pricing if acceptance is delayed

No equipment will be procured until the required deposit has been received.

13. Dispute Resolution

All disputes will first be addressed through good faith negotiation.

If unresolved, disputes will be governed by the laws of the Republic of South Africa.

14. Acceptance

By accepting a quotation or proceeding with installation, the client acknowledges and agrees to these terms and conditions.
